Post Title: Implementation Executive

Business Unit: Sales

Responsible to: Implementation Manager

Accountable to: Head of Sales


· Support Implementation Manager with the onboarding of new clients and products.

· Track projects to ensure products launch within agreed timeframes.

· Assist in minimising the time taken from contract sent to client to product launch.

· To work in partnership with the sales team to deliver on their core purposes through effective support, processes, and activity.

· To create and maintain internal processes, knowledge bank to create clarity and efficiency.

· Support client registration and usage through a variety of internal processes and activities.

Principal Duties

· Liaising with customers as well as internal stakeholders.

· Using in-house software to create & customise benefit products to client specification.

· Multi-tasking across different projects and dealing with multiple accounts and requests at the same time.

· Documenting customer requirements and tracking projects in progress.

· Assist with identifying timelines and managing customer expectations on product implementation.

· Working collaboratively with the wider business to deliver effective client product launches.

· Ensure that projects are delivered on time so that benefits and expectations at Launch and thereafter are realised

· Work with the sales team to support the relationships with clients and maintain effective everyday communication with them, through various channels including phone and shared email inbox.

· Working with data from various sources and manipulating as required using MS Excel to produce accurate reports and spreadsheets for both clients and for internal requirements and requests.

· Creating Management Information reports for clients to the agreed format, utilising the required tools i.e. Google Analytics and actively looking for enhancements to improve.

· Creating prospect Pitch Packs and Proposals, ensuring consistency in delivery, whilst actively looking for efficiencies and enhancements

· Manage and own queries raised by clients through to effective resolution, escalating to Sales or Operations and suppliers when necessary.

· Hosting and supporting Webinar activity to enhance the understanding and usage of the benefits and services available to employees.

· Fully support the maintaining and updating of Zoho CRM to ensure data accuracy, compliance, and true reporting, including the uploading of associated documents.

· Work with the Marketing team to ensure relevant B2B Communications are received and utilised

· Create and maintain the documentation for internal processes to ISO 9001 standard to ensure all clear and simple to understand.



· Communication – Professional and clear communication skills with the ability to build strong relationships. Articulate and tactful both on the phone and face to face with effective written and numerical skills.

· Sales Competency – Identify customer needs and escalate sales opportunities.

· Organisation – excellent planning and organisation skills with a high level of attention to detail.

· Systems – High level of IT literacy required, including but not limited to MS Office: Word, Excel, PowerPoint, Outlook, MS Teams

· Fast Learning – Detailed knowledge of the company’s products is essential to the role and will need to be understood quickly.

· Multitasking – ability to coordinate several projects running simultaneously

· Prioritisation – work load needs to be managed and tasks need to be prioritised to meet deadlines and timeframes utilising problem solving and decision making skills

· Team work – collaboration with a range of teams and being willing to take on new challenges, demonstrating innovation and initiative to suggest new ideas or ways of working


· An understanding of how salary sacrifice employee benefits work is desirable but not essential.

· Experience in project management is desirable but not essential.


· Take responsibility for own continuing professional development and keep up to date by reading relevant journals, attending networking meetings and relevant courses.

· Be a credible ambassador for the company at all times when communicating with external organisations so that the Company’s reputation is maintained and best interests served.

· Undertake any other reasonable duties appropriate to the role as business needs require.

· Adherence to the requirements laid down in Vivup’s Business Management System for ISO9001 and ISO27001 accreditation.
